VISA ASSISTANCE:
The
conference organizing committee render visa assistance to all qualified
participants requiring entry visa to enter the United States of America
andNetherlands, pending if the visiting applicants returns theirconference application
formalong with the receipt of
theirhotel
reservationinNetherlandsas evidence to prove that participants will proceed toDen
Haag City,TheNetherlandsafter the event in the U.S.A. In this case, all participants are
advised to book for their hotel for the(5-days)conference inNetherlands. We will process your visas through the U.S Bureau of Immigrant
Affairs by U.S visa officials and U.S Immigration Lawyers who work in
collaboration with the U.S Bureau of Immigrant Affairs, we shall only process
your visas if we receive your completedconference application formtogether with
the receipt of yourhotel
reservationbooked atthe recommended hotels
inNetherlands. This will prove that you will be leaving U.S.A after the first
segment conference to attend the second event in Den Haag City,The Netherlands. We shall send to you the confirmation of your authorized visas and
a copy will be sent to the consular section at the U.S.A andNETHERLANDS
embassyin your country or their
nearest Embassy to your country. You will only appear at the embassy for the
issuance of the visa seals in your passports. You must appear at the Embassy
with the correct information forwarded to us during the processing of your
document, any name in your passport is what we shall use for your visa
authorization.
AIRPORT/TRANSPORTATION:
Delegates will be met
on arrival in U.S.A and NETHERLANDS and escorted to their assigned hotels. Buses
will be available for transport to conference hotels and conference venues.
Please be informed that delegates will be searched at their arrival at the
airport, and at theconference entry
points. All delegates are advised in
advance not to be in possession of dangerous weapons, sharp objects and metals,
as they will be considered as terrorists both in the U.S.A and inNETHERLANDS. Special security team will be assigned to the conference venues
both inMemphisandDen Haag City.
FLIGHT
TICKETS:
Our independent donors
have made available sponsorship for participant’sflight ticketsthat will be
routed from participants’ home countries toUnited States of
AmericatoNetherlandsand fromNetherlandsto Participants home countries. All qualified participants will
receive an all round flight tickets at theKLM airline
salesoffice in their country or at
any sales offices closer to their country after the processing of their
documents and flight tickets. Although U.S.A & NETHERLANDS are served by
someinternational
flights, KLM airline has been chosen
to airlift our participants. In some countries whereKLM airlinesdo not operate,
alternative airline will be provided. Many delegates arriving in U.S.A and
NETHERLANDS from abroad will be required to complete customs and immigration
formalities at the initial point of entry. Delegate’s transportation back to
International Airport at the end of the conference will be provided by our
Secretariat.
SPECIAL INFORMATION:
At
the end of the first event of International Youth conference on "EDUCATING THE
YOUTH ONHIV/AIDSAND WOMEN EMPOWERMENT"in U.S.A,
tours and Picnics will be provided, all participants MUST proceed toDen Haag
City,TheNetherlandsfor the second segment of conference. Participants will be taken to
the airport to continue their trips to The Netherlands.
ACCOMMODATION IN THE U.S.A:
Participants
attending the four days conference "Educating The Youth onHIV/AIDSandWOMEN EMPOWERMENT "will be accommodated in a number of hotels in the U.S.A
Accommodations have been arranged in groups for all invited groups. Our
independent donors have made available sponsorships for accommodation and
feeding for all participants in the U.S.A only
ACCOMMODATION IN NETHERLANDS:
The conference
organizing committee together with the Dutch Federation of Arts and Tourism
inNetherlandshave selected Standard Hotels with cheaper accommodation rates and
good facilities to accommodate participants, Participants are to take
responsibility of their hotel and feeding expenses inNetherlands. Feeding and VAT are included in all hotel charges. To book your
hotel rooms inNetherlands, make a direct contact with thehotel
managementand also show them your
conference invitation reference number.
Your Invitation Number is GH5456 This number
serves for you and your group. Print out the conference registration form as
many as you are in your group and let them fill it out.
Remember our application is based on first come, first serve. If you
come when registrations are closed there would be nothing we can do for you. The

No other hotel confirmation receipt shall be accepted for the
processing oftravel
documentsapart from the confirmation
issued by the selected hotel. Therefore participants are advised to contact the
hotel and make their booking on time and forward the reservation receipt to us
along with the conference registration form for advance processing of their
participating documents and visa authorization.
PARTICIPATION:
Participants MUST consist of five to ten persons (5-10 persons)
from18 years and above. Therefore, form your group of 5-10 delegates and send
in your registration information.
PRE-REGISTRATION:
Registration for both conferences is just by one process. All groups
must register by faxing the following information to the organizing committee in
U.S.A (a) Names and Passport Numbers of participating delegates (b) Date of
Birth and Age. When faxing pre-registration information, they should include
their official e-mail address and Invitation Reference Number, fax and telephone

INTERPRETATION AND WORKING DOCUMENTS:
Simultaneous interpretation will be provided in the following
languages: English, French, Spanish, Russian, Arabic and Chinese.
TELEPHONE AND FAX SERVICES:
International direct dialing is available in allhotel guest
rooms, with charges added to the
guest's account. Calling cards for international telephone calls are available
for sale at a number of convenient shops and stores.
MEDICAL SERVICE:
A medical station will be available to delegates during conference
hours. Delegates may wish to check with their local health offices for specific
recommendations. Delegates are responsible for paying their own emergency
medical, surgical, dental and hospital expenses while in U.S.A &
NETHERLANDS.
